Club Financial Transaction Terms Defined
Total Registration Fees – The full registration amount charged to each player on the team. If a player paid upfront, it's their full upfront fee. If they're on an installment plan, it's their initial deposit plus all their scheduled installment amounts added together. This is the starting number before any reductions.
Paid in Full Discount – A discount given to players who chose to pay their entire balance upfront rather than using an installment plan. This amount is set by the club when creating the payment plan and is deducted from what the player owes.
Scholarship – A dollar reduction for players who were awarded a scholarship by the club. The club enters this amount when setting up the player's payment plan, and it reduces what the family pays.
Financial Aid – A dollar reduction for players who qualified for financial assistance. Same as scholarship — the club sets this amount on the payment plan and it reduces the family's balance.
Volunteer Opt Out Fee – A fee charged to families who chose to pay money instead of fulfilling volunteer hours. The club sets this amount on the payment plan, and it gets added to what the family owes (that's why it shows as a positive number — it increases their total).
Paya Fees – The credit card processing fee the club paid to the payment gateway (Paya) on each transaction. It's calculated either as a percentage of the payment amount (e.g., 3.5% × payment) or as a fixed dollar amount per transaction, depending on how the club configured it.
Revenue Received – The actual money collected from families. It adds together the amount charged to their card plus any account credit that was applied toward the payment. This includes all approved upfront, installment, and manual payments for the season.
Refunded Registrations – The total dollar amount returned to families when refunds were processed.
Actual Projected Revenue – The net amount each player actually owes after all adjustments. It's calculated as: (Registration Fee + Volunteer Opt-Out Fee) minus (Paid in Full Discount + Scholarship + Financial Aid + Volunteer Hour Discount). For installment plans, this is calculated per installment and then totaled.
